Your user data is safe with us - we don't store it. On our end, the users are represented by their user ID, a string of random and unidentifiable digits and letters. Emails are fetched, but not stored.

Note

When generating the employee database, we fetch users' Names and Emails for initial recognition. However, for your privacy:

  1. We do not store this data on our end.

  2. Real names are not processed; instead, we use user IDs, which are strings of random, unidentifiable digits and letters.

  3. While emails are fetched, they are never stored in our system.

Aside from the Name and Email columns, all other columns can be edited.

You can also add new columns/profile fields by clicking on the + icon appearing after the last column of the table.

Tip

After synchronizing users, several default columns are established to provide a foundational structure. While "Name" and "Email" columns are fixed and cannot be deleted, all other columns are flexible. Admins can modify or remove them based on specific organizational requirements.

You can choose between seven different field types:

  1. Text (allows Allows users to enter any combination of letters, numbers, or symbols in a single line).

  2. URL (allows Allows users to add a link to an internal or external page).

  3. Number (allows Allows users to enter any number).

  4. Select (allows Allows users to select one value from a list that you define).

  5. Multiselect (allows Allows users to select more than one value from a list that you define).

  6. User (allows Allows users to add another user profile using autocomplete).

  7. Date (allows Allows users to pick a date from a popup calendar).

All columns you create will be available in the user profile section of Cosmos. Users can only see and fill the fields if they are manually added by admins.

The Show/Hide users feature allows administrators to selectively hide certain users from the database while maintaining access to and browsing functionality within the People Network. These users will also be hidden from People Network, but they’ll still be able to access their user profiles.

Hiding Users

  1. Access the Cosmos Dashboard through the Apps section in the Confluence navigation menu.

  2. Navigate to the Settings button in the Cosmos sidebar and select.

  3. You are now located in the Database.

  4. In the checkbox column, select the desired users by checking the corresponding checkboxes.

  5. As you select users, the selection counter will display the number of selected users.

  6. Once at least one user is selected, the "Hide selected" button will appear above the user table.

  7. Click the "Hide" button to hide the selected users from regular database views.
